How does the Booking process work?

Access to the Athletics Centre & services this Fall are ONLY available to current UofG Students & Members.  Currently NO Daily Access Passes available. Everyone will need to book their time-slot/workout block in advance prior to accessing: Recreation Activities, Fitness Centre, or attend NRG Group Fitness Classes.

Microsoft Booking Policies:

  • All users are required to complete the U of G COVID-19 Screening Form prior to each visit > uoguel.ph/COVID19screening
  • Bookings can only be made 7 days in advance
  • Bookings can be made up until the desired time-slot
  • Clients should cancel bookings on their own and can do so without penalty up to 1 hour before the booked time
  • All Clients must check in prior to any booking when they arrive
  • Clients who register for a time and continuously do not show will have their memberships temporarily suspended
  • Non-members will be denied access to booked time-slots/workout blocks
  • Clients are limited to book one time-slot per activity, per day. If the client wishes to stay for an additional time-slot, they must wait and ask staff if there is room for them to extend and stay for another time-slot if they wish to stay longer

Fitness Centre Booking Process 

• All members are required to complete the U of G COVID-19 Screening Form prior to each visit > uoguel.ph/COVID19screening
• Fitness Centre is open for 1.25 hour workout blocks, then closed for 30 minutes of cleaning
• Workout blocks must be booked in advance for contact tracing purposes
• Workout blocks are available 7 days prior ($50 reference in Microsoft Bookings is per semester, not per workout block) 
• Entry is allowed up until 15 minutes into the workout block. After this time, no late entries
• Members are limited to book one workout block per day
• Walk-up NRG members will be accepted if space allows
• All Fitness Centre NRG members enter through the Garney Henley entrance
• QR code for Screening Form must be used or you will be denied access to the facility
• If you experience any symptoms on the screening form or do not feel well, please stay home
• As our change rooms are currently closed, members will be given a bin for their belongings before they enter the Fitness Centre. This bin will be stored for the duration of the workout block
• All members must obey physical distancing guidelines while in the facility
• Face coverings must be worn into the Fitness Centre up until the point where your workout begins
• Members may choose to wear face coverings while they workout
• Members must wipe down all equipment after use
• Lendable Fitness Centre equipment is currently restricted for sanitizing purposes
• Only 10 people allowed on the black mats (heavyweight area) at any given time. This area is controlled access
• After the workout block, all members must leave directly through the back doors of the Fitness Centre/Building
• At this time, the white staircase to the Fitness Centre is closed
• At this time, the mezzanine is closed, other than for personal training clients
• ‘Working in’ is prohibited

Recreation (formerly Drop-in Rec) Booking Process 

  • In order to maintain best practices, we have implemented a phased approach, therefore Recreation options are currently limited.  
    Visit our COVID-19 website (gryphons-covid-19.ca) for a reference to our Phases so you know what & when to expect.

NRG In-Person Class Booking Process:

  • All members are required to complete the U of G COVID-19 Screening Form prior to each visit > uoguel.ph/COVID19screening
  • NRG Class time-slots must be booked in advance for contact tracing purposes
  • Bookings are available 7 days prior
  • No late entries are permitted
  • Workout spaces within studios are defined, members must stay within those spaces
  • Face coverings must be worn until the music starts and worn upon leaving the class/building
  • All equipment will be set up prior to the class
  • All equipment will be left in place at the end of the workout to be adequately cleaned/disinfected
  • Physical distancing must be adhered to when waiting to enter a class
  • Entrances and exits are clearly defined in each studio space

Do I have to wear a Face Covering while in Athletics buildings/studios/gyms/fitness centre etc?

All members will be required to wear a face covering at all times while in any Department of Athletics building. A face covering may only be removed when physical activity starts and must be put back on as soon as the activity ends. Face coverings must be stored in a clean bag or pouch so it may be clean and ready to be put back on when activity ends.

What is the capacity in the Athletics Centre?

We will have new reduced capacities throughout the building. These capacities are based on government regulations and the goal of maintaining physical distancing throughout the building. Our fitness centre will now only have a capacity of 50 people per workout block.

Will Change rooms be available?

Changerooms will be open later in our re-opening plans. See more at https://www.gryphons-covid-19.ca/

In the meantime we ask users to come dressed and wait in their cars until 5 mins before their scheduled time.

Members will receive a bin to place all items in upon arrival. This bin will come with them to the booked space they have reserved. Upon exit, these bins will be returned and cleaned for the next user. 

Can I still access the Fitness Resources if I live off-campus?

Yes! Any UofG student can access our fitness facilities. We are also open for community/staff/faculty memberships.

How far in advance can I book my spot in the Fitness Centre/fitness class/Recreation etc.

Rec Swims - All Family members attending will need to be listed - in-person and phone-in requests will not be taken.

Tours

We are not offering tours of Athletics, self-guided or otherwise, this fall. Please visit us virtually: https://admission.uoguelph.ca/visit-u-g-virtually

DOES THE GUARDIAN IN THE WATER FOR PARENTED LESSON NEED TO KNOW HOW TO SWIM? 

The guardian must be 16 years of age or older and be comfortable in shallow water. Guardian must be in proper swim attire and prepared to actively assist with holding/supporting their child in the water during the lesson. 

Am I able to withdraw and receive a refund?

Fall 2020 Withdrawals/Refunds for registered Fitness & Recreation Activities (other than Certifications) can be made anytime by visiting Client Services or calling 519-824-4120 Ext. 56253. Refund amounts will be prorated for the classes that have already taken place and the $10 Withdrawal Fee will be waived for requests made due to illness or COVID-19 concerns. If you suspect you have been infected with COVID-19 please notify Public Health for contact tracing and environmental cleaning/disinfection purposes. Refunds placed back onto accounts will remain there for 365 days.

*Refunds for Certification courses must be requested no later than 3 business days prior to the start date by visiting Client Services or calling 519-824-4120 Ext. 56253. The $10 Withdrawal Fee will be waived for requests made due to illness or COVID-19 concerns. No refunds after this date.

*Refunds for NRG Passes & Personal Training Sessions can be requested at Client Services but must be done so no later than 10 days from the time of purchase to receive a full refund. After the 10-day cooling off period, requests can be made by contacting the Fitness Supervisor and will be approved on a case by case basis. You will be required to provide documentation.

We reserve the right to cancel any activity that does not have sufficient registration. In this case, participants will receive a full refund and notification prior to the start of the activity. It is your responsibility to ensure that your contact information (phone, email, mailing address) is current.

If the Department of Athletics is required to close due to changing circumstances:  Individuals will be contacted and automatically withdrawn from Fitness & Recreation Activities. Refunds will be prorated for classes that have already taken place and the credit will be placed back to the original payment method. For original payments made by cash or debit, refunds will be placed onto accounts and once the facility can safely re-open to the public, individuals will be able to contact Client Services in order to process the refund from their account.  NRG Pass Members will be contacted and will receive a coupon for the pro-rated value of the membership. This coupon code can be used for the following memberships: Student NRG Pass, Student NRG Plus, NRG Plus upgrade, Student Towel Membership, and Locker Rentals. Each code is only good for a one-time use, does not expire, and can be used when registering online or in person (lockers must be done in person). When registering online, simply look for the 'Enter coupon code' box during registration. It will typically be on the 'Membership Detail' page during the registration process under 'fees/discounts'.
